Ethical AI Use,
Data Protection
& Privacy
The Dialogic Studio is built on the belief that AI should support human thinking, creativity, and self-awareness — responsibly, transparently, and in ways that respect your autonomy and dignity.
"You remain in control. The AI is a partner in thinking, not an authority on living."
AI as a Thinking Partner
The Dialogic Studio uses AI as a dialogue partner and development tool, not as an authority or decision-maker.
The system helps you explore ideas, develop creative work, reflect on experiences, and structure projects and thinking.
AI responses should always be understood as assistance — not as professional advice or objective truth. You remain responsible for your own decisions and actions.
Human Agency & Non-Manipulative Design
The system is designed to support human agency — you remain in control of your ideas and decisions, AI suggestions are optional guidance, and you are encouraged to question and refine outputs.
The Dialogic Studio does not use AI to manipulate behaviour, emotional responses, or political views.
We do not design the system to push you toward predetermined conclusions.
What Information We Collect
We aim to limit data collection to what is needed to provide and improve the service. Depending on the features you use, this may include account information, conversation inputs, profile responses (such as the RII profile), and usage data.
In Catch Me, conversations and any notes or steps you choose to keep are stored separately. Continuity is off until you opt in; when it is on, a bounded relevant selection of confirmed notes, or a step you select for a return conversation, may be sent to the model provider for that Catch Me reply. Catch Me information is not added to your ARIS/RII memory or other feature profiles.
Your Relational Intelligence Interface (RII) profile data is used only to improve the interaction between you and the AI system. It is not used for advertising or behavioural profiling.
We do not sell personal data to third parties.
Data Storage & Security
Where data is stored, we aim to ensure reasonable protection through secure infrastructure, limited internal access, and responsible platform providers.
Sessions are protected with secure, HTTP-only cookies. All database queries use parameterised statements to prevent injection. Private account data and protected account actions require authentication. Limited public pages and trial endpoints are intentionally available without an account and do not expose private account history or profile data.
However, users should understand that no digital system can guarantee absolute security.
User Conversations & Privacy
Conversations with the AI are intended to remain private. To produce a response, relevant conversation content may be processed by the model provider used for that feature.
Catch Me data is included in account export and account deletion. You can delete a Catch Me conversation and choose whether selected linked notes or steps remain as standalone records, without the transcript or its source reference.
DIALOGIC limits internal access to authorised operational, support, security, or abuse-response purposes rather than routine reading. Retention varies by product, mode, consent, and provider; we retain data only as long as the relevant service or legal or safety need requires, and do not claim a single universal retention period.
We may retain or disclose information when required by law or when necessary to investigate, prevent, or respond to a security incident, abuse, or material service failure.
You should avoid sharing sensitive personal information, financial details, confidential data, or private information about others within the platform.
The platform encourages thoughtful use of AI. You remain responsible for what you choose to share within the system.
Institutional Pilot Enquiries
If you send an enquiry through the Institutions page, we use your contact details and answers to respond to that enquiry. The form asks for institutional contact details only and should not contain learner names or other information that identifies a learner. Enquiry records are kept separately from learner, Classroom, research, ARIS and account data.
Your enquiry is sent by email to the DIALOGIC team mailbox (chat@thedialogic.studio), and a copy of your answers is sent to the email address you gave. These emails pass through our configured email provider. Service records of the enquiry, including delivery and consent records, are deleted no later than 56 days after submission. Copies held in the team mailbox are kept for the same maximum period, and the email provider's own records are kept for that period or less where the provider's retention is shorter.
Institutional updates are separate and optional. They are only sent if you tick the updates box. That consent expires at the same time, no later than 56 days after submission. You can withdraw it at any time through the unsubscribe link in any update or by emailing chat@thedialogic.studio, and declining or withdrawing never affects your enquiry.
An enquiry about learners of any age does not grant access to DIALOGIC. For learners under 14, arrangements are organised with each placement and agreed before any access, and parents or guardians receive information and give explicit opt-in consent before a learner takes part.
Public Trial Crisis Support Protocol
Clear personal crisis signals can switch a public trial conversation to Crisis Support automatically. Discussing a topic or stating an age alone does not activate it. Detection can miss signals or misunderstand them; do not rely on this chat to recognise an emergency.
ARIS offers brief, calm support and signposting to human help, not therapy, diagnosis, treatment, monitoring or an emergency service. It cannot call, report to, or dispatch anyone on your behalf. If there is immediate danger, contact local emergency services now; do not wait for a chat reply.
ARIS asks which country you are in if it is not already known. While country is unknown, UK resources are shown first and explicitly labelled as UK options, alongside an international directory. Once you give a country, the guidance uses the verified resources for that country or the directory, not guessed phone numbers. You do not need to share an address or precise location.
A stated age is treated as self-reported, not verified identity. ARIS adapts its language and safeguarding guidance. Under-18s in distress are encouraged to contact a safe, trusted adult, who need not be a parent if home is unsafe. In the UK, people under 19 can also contact Childline. Stating an age does not establish account eligibility or parental consent, and the chat does not update an account profile from it.
Once activated, Crisis Support remains the focus of that conversation. Up to 30 additional successful support messages are available outside normal trial and account allowances; failed replies do not use them. Public abuse-prevention limits and service availability still apply. Emergency and helpline contacts remain available here without an account or message allowance.
Return and begin a new conversation when you feel ready to continue exploring creativity. This space will still be here.

Transparency
The Dialogic Studio uses AI models provided by external technology providers. These models generate responses based on patterns learned from large datasets.
AI responses may sometimes contain errors or incomplete information. You are encouraged to verify important information independently.
We aim to be open about how the system works and will update these policies as the platform grows.
Ethical Boundaries
The platform should not be used for harassment or abuse, illegal activities, generating harmful content, impersonating others, or spreading misinformation.
We reserve the right to restrict access if the platform is used in ways that harm others.
Our Grassroots Commitment
The Dialogic Studio is a grassroots project exploring new ways humans and AI can collaborate in thoughtful dialogue.
We are committed to ethical experimentation, respectful technology design, protecting user autonomy, and learning and improving over time.
If you have questions about ethical use, privacy, or data protection, please reach out. Open dialogue is an important part of building technology responsibly.
